Overview

GENERAL SUMMARY OF POSITION:

 

The Administrative Assistant II is responsible for providing administrative support to the human resources functions including but not limited to time-keeping, HRIS, documentation and front desk coverage.

Responsibilities

MAJOR RESPONSIBILITIES:

 

  • Organizes and tracks departmental documents. Creates and maintains hard copy and electronic filing systems.
  • Performs data entry for time keeping and other departmental related functions.  May audit others work.
  • Reviews documents and data entry for accuracy. Resolves discrepancies within scope of work.
  • Responds to all inquiries in a timely manner.  Effectively communicates with employees and UMMS counterparts as necessary.
  • Generates routine and ad hoc reports for departmental and organizational use.
  • Adheres to all organizational and departmental procedures. Ensures the integrity and confidentiality of employee information.
  • Coordinates with the MBL purchasing group in the placement and tracking of orders 
  • Provides periodic coverage at the front desk and adheres to security protocols
  • Maintains departmental supply inventory,  answers phones, makes photocopies, sends written and electronic correspondence
  • Performs additional job related duties as required.

Qualifications

REQUIRED QUALIFICATIONS:

 

  • Requires a high school diploma with a minimum 2 years of relevant experience
  • Ability to follow verbal and written instructions precisely
  • Demonstrated ability to recognize deviations from standard procedures and initiate appropriate corrective action
  • Ability to troubleshoot within scope of training
  • Computer literate and proficient in Microsoft Office Applications. PeopleSoft and Oracle EBS experience preferred.
  • Demonstrated ability to multitask and consistently meet deadlines
  • Possesses strong attention to detail, ability to maintain accurate written records
  • Ability to communicate effectively with others
  • Ability to work effectively both independently and as a member of a team
  • Prior time keeping or payroll experience preferred
