Overview

GENERAL SUMMARY OF POSITION: 

 

Under the general direction of the Assistant Vice Chancellor for Advancement, the Director of Alumni Relations provides strategic direction and implementation for all Alumni Relations initiatives and programs for the T.H. Chan School of Medicine, Tan Chingfen Graduate School of Nursing and Morningside Graduate School of Biomedical Sciences at the UMass Chan Medical School (UMass Chan).  Primary responsibilities include coordinating school reunions, managing the UMass Chan Alumni Association, strategic planning, budget oversight, and the ongoing implementation and assessment of programs, events and communications aimed at enhancing alumni interest and encouraging alumni involvement in shaping and supporting UMass Chan.

Responsibilities

MAJOR RESPONSIBILITIES:

  • Provide strategic direction for the integration of alumni engagement initiatives and programs across all three Schools.
  • Working closely with the Deans of the three schools and senior leadership, develop and execute strategic plans related to Alumni Relations, managing all elements of alumni programs to strengthen connections with alumni.
  • To ensure best practice standards, regularly conduct a thorough analysis of UMass Chan’s alumni programs, assessing current initiatives and providing recommendations to enhance alumni participation and support.
  • Prepare and manage the annual budget for Alumni Relations demonstrating sound fiscal responsibility.
  • Manage the annual reunion program for all three schools.
  • In collaboration with the Director of Advancement and Campaign Communications, create and implement comprehensive communications and marketing strategies for Alumni Relations, which will include event announcements, newsletters and other communications across various platforms.
  • Manage the development, administration and marketing of the alumni online community and all electronic communication channels, ensuring that content is focused, accurate and timely.
  • Design, implement, and manage alumni programming to increase alumni participation, engagement and awareness.
  • Oversee and manage all aspects of the UMass Chan Alumni Association. Develop goals and objectives for committees of the Alumni Association, supervise volunteers, facilitate meetings and lead committees toward successfully completing established goals and objectives.
  • Ensure the accuracy and integrity of alumni data in the Advancement database.
  • Design and manage all event plans, day of logistics, and event follow-up plans related to Alumni events.
  • Serve as the primary liaison to the UMass President’s Office and UMass Foundation for system-wide alumni activities and programs among all UMass campuses.
  • Develop and maintain close relationships with advancement staff, school leadership, student leaders, faculty, staff, and volunteers, by sharing appropriate information and providing assistance, when needed.
  • Participate in Advancement-wide projects, meetings and events as needed including some nights and weekends.
  • Perform other duties as required.

Qualifications

REQUIRED QUALIFICATIONS:

  • Bachelor’s degree in a related field, or equivalent experience.
  • At least 7-10 years of demonstrated experience in alumni relations, event planning or volunteer management, preferably in higher education.
  • Demonstrated ability to build and sustain strong working relationships in a volunteer-focused, customer service setting.
  • Solid project management experience, adept at handling human, financial, and logistical resources and constraints. Highly organized with exceptional follow-up skills and a keen eye for detail. Proven leader with integrity and a manager who is intuitive, creative, self-directed, conscientious, motivated and a team player.
  • Proven computer skills including desktop applications, databases and web-based information and familiarity with alumni and development software systems and Advance tools. Ability to coordinate teams of individuals and motivate them toward a common goal.
  • Exceptional talent for creating reports, strategic project plans, proposals, and publication content.
  • Capable of managing multiple tasks simultaneously while maintaining productivity and effectiveness.
  • Some weekend and evening work will be required.
  • Flexibility to travel locally and nationally as required.
