    POSITION SUMMARY

    Under the direction of the Administrative Services Manager, the Sales and Business Development Support Specialist (SBDSS) will provide advanced administrative and project management support to the Deputy Executive Vice Chancellor, Sales and Business Development (DEVC, SBD) and the Managing Director, Business Transformation Solutions (MD, BTS).  The SBDSS will perform complex and varied administrative and project management functions supporting organizational strategic priorities. Participates in or leads small projects or subcomponents of larger, more complex projects.  Responsible for independent action on multiple projects as assigned.  Work involves handling of confidential and time sensitive information/materials. Tasks vary according to the priorities of the department.

    Responsibilities

    ESSENTIAL FUNCTION

    • Manages executive calendar, appointments, travel plans, records and files. Collaborates with internal staff to confirm executive’s schedule reflects strategic priorities.
    • Participates in or leads small projects or subcomponents of larger, more complex projects.
    • Participate in new project development and the implementation of project related activities for the department.
    • Researches, collects and prepares information for use in discussions/meeting for executive. Arranges presentation materials for executive meetings.  Keeps executive informed of pertinent information.
    • Develops and manages annual budget and planning documents monitoring the budget throughout the fiscal year. Reconciles budget and presents variance and forecast reports to executive. 
    • Primary contact with other departments, customers, press and outside agencies/organizations for executive providing information, explaining programs, policies and activities as related to administrative, fiscal, operational and personnel.
    • Maintains confidentiality of information regarding business, reports and documents and uses discretion when disseminating the information.
    • Coordinates the travel and logistics of various activities or special events.
    • Composes and distributes correspondences, notices, forms, memoranda, calendars, manuals, presentations, brochures and other related materials.
    • Ensure that new project development is timely, successful, and meets expectations.
    • Assist executive with project specific activities in a timely and efficient manner, develop project plans, compile and analyze data, produce project reports, maintain project plans, and schedule meetings.
    • Prepare multi-media presentations and reports utilizing a variety of software applications.
    • Initiate and maintain contact with key personnel including staff, department heads and external parties.
    • Update the Director or designee on project details and changes in a timely manner.
    • Maintain and track key business contacts and leads and upload date to Salesforce client management system.
    • Provides administrative support to executive suite for special projects, status reports and coordinates activities/events.
    • Perform other duties as required.

    Qualifications

    REQUIRED QUALIFICATIONS:

    • Bachelor’s degree in Business Administration, a related field, or equivalent experience.
    • 5-8 years of administrative and budgetary experience.
    • 2 years of project management and coordination.
    • Demonstrates excellent analytical, organizational, and time management skills. Utilizes independent judgment.
    • Strong interpersonal skills required to interact with all organizational levels; demonstrated ability to work appropriately with confidential information.
    • Ability to work in a team and meet performance deadlines in a dynamic environment.
    • Excellent oral and written communication skills.
    • Demonstrated ability to use computer-based tools including electronic mail, word processing, spreadsheet, database products, Salesforce preferred, and Microsoft Office products.
    • Proven written and oral communication skills.
