  • Overview


    Under the direction of the Associate Director of Financial Operations or designee, the Contract Coordinator performs/administers a variety of complex administrative duties and is responsible for ensuring compliance with the Umass Medical School regulations regarding contracts with medical facilities, physician groups, consultants and external vendors.  This role is also the lead in identifying and resolving issues related to all program contracts.





    • Initiate and coordinate all aspects of developing contracts and renewals for the Department of Correction and FMC Devens (Federal).  Work closely with providers/vendors (external entities), Commonwealth Medicine/Program Development & Business Services, the Deputy Chancellor’s office and the School Fiscal Department
    • Performs in a decision making capacity for all changes to the contract boilerplate and resulting amendments to the UMass Correctional Health contracts
    • Ensure accuracy and update contracts to include current scope of service and programmatic language changes
    • Assist department management in provider relations and negotiation of contract exceptions and variations
    • Establish and maintain a contract tracking system, which allows for accurate and timely follow-up, and problem resolution for both DOC and Devens
    • Report on the status of contracts to Senior Management and the Department of Correction (DOC) on a regular basis
    • Monitor the encumbrance status of contracted providers and amend contracts as necessary
    • Prepare Sole Source Justifications for all Department of Correction (DOC) and FMC Devens contracts as necessary
    • Responsible for all Peoplesoft general ledger coding of contracts
    • Primary point person to UMass Medical School Contract Services
    • Liaison between UMCH & UMMS Legal Counsel in resolution of contract negotiations
    • Liaison between Providers and University, explain contract process and verification of all information
    • Maintain and update contract tables in UMCHES (UMass Claims Repository) encounter system
    • Financial Team point person for all inpatient and outpatient stays
    • UMCHES input claims verification and adjudication
    • Provide support in the claims adjudication and payment process; including but not limited to, physician, facility and ambulance charges
    • Manual adjudication of Medicaid, Cost of Charge, SPAD and Medicare guidelines
    • Back-up Program Coordinator for FMC Devens program, managing medical appointments, emergency medical, etc.
    • Perform other duties as required




    • Bachelor’s degree in Business or a related field, or equivalent experience
    • 1-3 years business or office administration experience
    • Ability to maintain accurate records and use discretion in handling confidential information
    • Excellent communication skills; written and oral
    • Demonstrated knowledge of use of personal computers for spreadsheets and word processing
