    Under the direction of the Associate Director or designee, the Sponsored Programs Administrator I ensures sponsored program related documents are accurately prepared with respect to sponsor and institution requirements. Serve as a resource to principal investigators, administrators and staff regarding the timely completion of required documents for institutional approval of sponsored program applications. 



    • Provide assistance to principal investigators, administrator and  staff in the preparation, completion and submission of sponsor and institutional forms related to sponsor and 2nd tier (flow-through) applications/proposals
    • Assist with obtaining and completing required internal documents for proposal review and institution approval
    • Inform staff on proposal submission processes including progress reports
    • Send out progress report reminder emails to investigators and administrators
    • Review award documents to ensure compliance with University policy, as well as State and Federal laws, policies and regulations. Evaluate and/or interpret documents to ensure compliance with award terms and conditions
    • Review and coordinate submission of compliance documents prepared for Just-in-Time requests to sponsors
    • Submit JIT stage notifications to investigators to initiate IACUC congruency reviews
    • Assist research administration staff with monitoring award grants and contracts for deliverables working with University staff to ensure completion of requests in a timely manner
    • Review grant budgets for completeness and accuracy per guidelines
    • Assist research administration staff in correcting routing forms and other proposal data in PeopleSoft
    • Assist post-award staff with establishment and accurate entry of proposals, new awards and modifications into Research Funding services (RFS) systems used to track and report application, awards and sub-award activity
    • Assist in ensuring all applications meet published timetable and deadlines
    • Perform other duties as required.



    • Bachelor’s degree in Business administration, a related field, or equivalent experience
    • 2 years of relevant experience in an academic medical environment preferably working in research administration
    • Broad knowledge of document processing concepts, practices and procedures including maintaining accurate documentation.  Familiarity with electronic submission process desirable
    • Proficient in using multiple applications such as Microsoft Office software, web searching and database applications
    • Strong oral and written communication skill with ability to interpret and communicate policies effectively
    • Demonstrated time management and problem solving skills with ability to organize and prioritize workload, foresee problem areas and seek immediate action meeting deadlines
    • Demonstrated ability to act with discretion and good judgment and maintain confidentiality 
    • Excellent interpersonal skills with ability to interact professionally with diverse professional from different discipline with the ability to obtain cooperation to meet tight deadlines
    • Ability to handle multiple tasks
    • Ability to work in a team environment providing high quality customer service
    • Attention to detail
