Overview

GENERAL SUMMARY OF POSITION:

 

Under the supervision of the Director or designee, the Supply Center Inventory Coordinator is responsible for monitoring and maintaining inventory in the Supply center, which includes ordering through vendors and working with customers to ensure timely receipt of products.

Responsibilities

MAJOR RESPONSIBILITIES:

  • Respond promptly to all daily correspondence for new orders and product inquiries
  • Initiate daily special orders including contacting vendor, expediting delivery and restocking of inventory
  • Receive orders from Federal Express and UPS and redistribute into individual orders including processing delivery paperwork
  • Initiate all orders via ProCard & purchase orders
  • Manage ProCard receipts within QuickBooks
  • Maintain regular correspondence with sales representatives regarding  pricing or problems with ordering/availability
  • Create and maintain inventory levels based on sales and report semi/annually
  • Work with Director and Purchasing Department on yearly contract negotiations with vendors by providing past sales reports, projections on future sales, and identifying buying trends
  • Maintain electronic and hard-copy records of all orders, transactions, and deliveries using QuickBooks software and provide internal & external invoicing for assigned facilities
  • Run ad hoc reports for sales representatives and various university departments
  • Produce Quarterly reports for Core Administration
  • Responsible for monthly journal entries for entire facility including monthly corrections
  • Maintain vending machine software for campus-wide vending machines, including issuing vending machine cards, managing lost cards, restocking machines and billing departments for products purchased
  • Perform other duties as required

Qualifications

REQUIRED QUALIFICATIONS:

  • Associates degree or equivalent
  • 5 years of progressive related experience
  • Customer service experience
  • Proven ability to work independently in a fast-paced environment
  • Previous experience working in a scientific lab environment preferred
  • Proficient in Microsoft Office Applications
  • Experience with QuickBooks preferred
