Under the general direction of the Director of Compliance in the UMMS Office of Management, or designee, the Operations & Contract Agent performs a variety of complex administrative duties and is responsible for ensuring compliance with the UMass Medical School requirements regarding contracts and compliance-related activities. The Operations & Contract Agent is responsible for the review and processing of contracts, with particular focus on Commonwealth Medicine.



  • Maintain various compliance-related tracking databases, for example inadvertent or unauthorized disclosures of personally identifiable information, travel disclosures, publications and certificates of destruction.
  • Create and maintain a detailed and organized contract tracking system that tracks the status of contracts and timelines and allows for timely follow up.
  • Maintain inventory of employee policies and procedures regarding privacy and security of confidential data.
  • Complete documentation for compliance-related incident reports and assist with investigations and reporting.
  • Produce reports from compliance data bases.
  • Disseminate training links, track training, verify training completion and manage other training related tasks as requested;
  • Participate in quality improvement initiatives regarding data protection.
  • Coordinate legal and executive contract approval processes to ensure contracts are accurate, completed with required documentation and properly signed in accordance with University and department policies.
  • Administer department communications including but not limited to department email, website and hotline phone.
  • Record minutes for staff and committee meetings as requested.
  • Assist with contract reporting requirements, providing metric and benchmarking information.
  • Perform varied administrative tasks which require a high degree of independent action including, organize department office space, systems, supplies and files; coordinate with information technology, building security and facilities departments and manage other administrative functions;
  • Perform other duties as assigned.



  • Associate’s degree or equivalent experience
  • 3 years of experience in contracting or compliance preferably in a higher education or health care environment; or related field
  • Ability to maintain accurate records and use discretion in handling confidential information
  • Excellent communication skills, both oral and written
  • Excellent interpersonal, verbal and writing skills needed to present or communicate effectively with all levels of management and vendors.
  • Working knowledge of computerized information systems and Microsoft Office; including proficient spreadsheet and word processing skills.
  • Detail oriented with a high level of accuracy.
  • Strong problem solving and decision making skills.


  • Prior contracts experience and systems management
  • Knowledge of health care compliance, particularly HIPAA
