Overview

GENERAL SUMMARY OF POSITION: 

University of Massachusetts Medical School- Commonwealth Medicine has an event marketing/ hospitality conference management internship open for the 2017- 2018 school year. This internship will bring the applicant through the planning process of building an academic conference with 250 attendees and five concurrent tracks. The event has over 100 speakers, 10- 15 sponsors/ exhibitors, and is funded by three different grant organizations. The position will take place from September 2017- May 2018, approximately 10-12 hours per week, and is an unpaid internship. The applicant must be detail-oriented, proficient in Microsoft Office, and have experience with social media and marketing; hospitality management or business administration majors preferred.

 

Responsibilities

MAJOR RESPONSIBILITIES:

  • Coordinate and perform advanced administrative tasks
  • Conduct more complex research to assist team members
  • Assist with the preparation of data for projects and studies; compile statistics as required or requested
  • File, retrieve, collect, organize, manage, and distribute information from diverse internal and external sources
  • Perform assigned project tasks within specified timeframes
  • Perform other duties as required
  • Assist with the annual call for abstracts by editing text for marketing materials.
  • Develop conference schedule versions in excel for marketing and website.
  • Assist with the management of consortium membership by reviewing database, updating missing information, creating membership reports and invoicing renewals.
  • Assist with conference registration process, ongoing tracking of registrants and their payments.
  • Assist with sponsorship prospecting, customer service, retention and growth strategies.
  • Assist in the editing of the conference mobile conference app by loading presenter names and headshots, uploading the schedule, uploading the abstracts, and by creating an evaluation.
  • Assist in the management of social media accounts including Twitter, LinkedIn, and Facebook.

Qualifications

REQUIRED QUALIFICATIONS:

  • Bachelor’s degree candidate
  • Related experience preferred
  • Basic analytical and communication skills
  • Ability to use standard office tools and software (MS-Office)
  • Must be reliable and able to set consistent work hours
  • Microsoft Office Suite (Word, Excel and PowerPoint)
  • Attention to detail
  • Organizational and problem-solving skills
  • Ability to manage multiple projects with competing deadlines
  • Interpersonal and communication skills
  • Writing and editing experience
  • Ability to work independently and contribute to a team environment
